3. Bouquet Preservation
3.1 Placing an Order
Your booking is confirmed once full payment has been received. By paying, you agree to these Terms and Conditions in full.
3.2 Payment
All prices are in AUD. Payment is due in full before the preservation service begins. For any amount outstanding for more than fourteen (14) days after our payment request, we reserve the right to charge interest or terminate the agreement.
3.3 About the Preservation Process
Pressed flower preservation is a natural, handmade process. Please read the following carefully before placing your order:
Flowers will change colour over time. This is a natural characteristic of botanical preservation and is not a fault. Pressed flowers age beautifully, but they cannot retain the same vibrancy as fresh flowers indefinitely.
Pressed flowers cannot replicate the colour or appearance of fresh flowers. The pressing and drying process transforms the blooms. We always aim for the most beautiful outcome, but the finished piece will look different from fresh florals. This is not a defect.
Some flowers are not suitable for pressing. We will advise you if this applies to any flowers in your bouquet.
If your bouquet arrives in poor condition, the frame size or composition may need to change. We will contact you to discuss this.
We cannot guarantee a specific completion date due to the nature of the pressing and drying process. We will provide an estimated timeframe and keep you updated.
Frame and matting materials are selected to the highest standard available, but exact materials may vary due to supplier availability.
By placing an order, you acknowledge and accept all of the above.
3.4 Sending Your Flowers
You agree to deliver your bouquet to us ideally within 1 to 3 days after your wedding. The sooner we receive the flowers, the better the outcome. You are responsible for organising and covering the cost of shipping. We are not responsible for damage that occurs during transit to us. We will provide guidance on how to pack and ship your bouquet safely.
3.5 Collection and Delivery
Once your piece is complete, we will contact you to arrange collection or delivery.
Collection: We will arrange a time for you to collect your piece from our studio.
Delivery: available at an additional cost. We will pack and dispatch your piece with tracking. Once handed to the delivery provider, risk passes to them. Our liability for loss or damage in transit is limited to the amount we can recover from the delivery provider, less reasonable administration costs. We strongly recommend insuring high-value pieces.
Please inspect your piece within 48 hours of receipt and contact us immediately if there are any concerns.
3.6 Care of Your Piece
From the point of delivery or collection, you are responsible for your preserved artwork. Please keep your frame away from direct sunlight and moisture to maximise its longevity. The preserved bouquet is intended for decorative display only.
3.7 Returns and Refunds
All bouquet preservation commissions are bespoke and created specifically for you. Refunds, returns, and exchanges are not accepted. All sales are final. If you have any concerns about your finished piece, please contact us within 48 hours of receipt and we will do our best to resolve the issue.
3.8 Wedding Cancellations and Postponements
If your wedding is cancelled or postponed, you may transfer your booking to a new date within a reasonable timeframe, or gift your booking to another party. Please contact us as soon as possible.
3.9 Termination
We may terminate your agreement in the following circumstances:
You have not provided payment within fourteen (14) days of our payment request.
You have engaged in conduct that makes it unreasonable for us to continue, including harassment, unreasonable demands, or repeated material breach of these Terms.
Your flowers arrive in a condition that makes preservation impossible, and we cannot reach a reasonable alternative agreement.
If we terminate before pressing has commenced, we will return your flowers at your cost and refund any payment received, less administration costs already incurred.
If we terminate after pressing has commenced due to your breach or unreasonable conduct, we will retain the payment received to cover work and materials already invested. We will contact you in writing to confirm the termination and advise on the status of your materials.
We will always attempt to resolve issues in good faith before exercising this right.
3.10 Lead Time
Please allow 4 to 8 months from the time we receive your flowers to completion of your preserved artwork. This lead time reflects the natural pressing and drying process and the care taken at each stage. We will provide an estimated completion window and keep you informed throughout, but we cannot guarantee a specific date.
3.11 Communication
All communication regarding bouquet preservation commissions is conducted by email. Please ensure your email address is current and check your inbox regularly. We are not responsible for delays or missed updates caused by spam filters, incorrect email addresses, or failure to respond within a reasonable time.
3.12 Photography
We reserve the right to photograph your completed piece and use those images for our website, portfolio, social media, and promotional materials. By accepting these Terms, you grant us permission to do so. Please advise us at the time of booking if you have any specific concerns.
4. In-Person Workshops
4.1 Bookings
Workshop tickets are purchased through joannahiuartist.com or ClassBento. Your booking is confirmed once payment is received.
4.2 Non-Refundable Tickets
All workshop tickets are non-refundable due to the nature of the service, including the preparation of materials, venue hire, and limited places per session.
You are welcome to transfer your ticket to another person. Please let us know their name before the workshop date.
If you need to reschedule, please contact us as soon as possible. We will do our best to offer an alternative date as a gesture of goodwill, but this is at our sole discretion and is not a guaranteed right.
No-shows will not receive an automatic rebook. If you contact us after missing a session, we may offer you a complimentary rebook at our sole discretion, depending on availability and circumstances. This is a goodwill gesture only.
4.3 Workshop Content
All creative content, techniques, templates, and materials shared in our workshops are the intellectual property of Joanna Hiu Artist. You may not reproduce, teach, or distribute our methods or materials for commercial purposes without our written permission.
We reserve the right to refuse entry or remove any participant whose behaviour is disruptive, disrespectful, or unsafe.
4.4 Health and Safety
Workshops involve craft materials and tools. You attend at your own risk. Please advise us of any allergies or health considerations before attending. We are not liable for personal injury arising from failure to follow safety instructions provided during the session.
4.5 Photography at Workshops
We may take photos during workshops for use on our website, portfolio, and social media. If you would prefer not to be photographed, please let us know before the session begins.
5. Corporate and Private Events (The Botanical Table)
5.1 What These Events Involve
Corporate and private events through The Botanical Table involve significant preparation before the event date. This includes sourcing and purchasing specific flowers, pressing and drying those flowers (a process that takes months), creating bespoke botanical materials, and coordinating logistics for the event.
This preparation begins as soon as a booking is confirmed. For this reason, our cancellation and payment terms are firm and exist to protect the real costs we invest on your behalf.
5.2 Quotes and Booking
Events are quoted individually based on group size, format, duration, and location. A booking is confirmed once the deposit has been received and we have confirmed the date in writing.
5.3 Payment Terms
Standard payment structure:
A deposit of 50% of the total quoted amount is required to confirm your booking.
The remaining 50% balance is due no later than 14 days before the event date.
Full payment must be received before the event takes place. Failure to pay the balance by the due date may result in forfeiture of your deposit and cancellation of the event.
Brand activations and agency partnerships: We understand that larger organisations and brands sometimes have payment terms that fall after the event date. Where this is agreed in advance and confirmed in writing, we require a minimum deposit of 50% of the total quoted amount before the event, with the balance payable within 30 days of the event date. This arrangement must be agreed before any booking is confirmed and does not apply by default.
For any amount outstanding more than 14 days past the due date, we reserve the right to charge interest or pursue recovery of the outstanding amount.
5.4 Cancellation by You
Because flower sourcing and pressing begins immediately after your booking is confirmed, cancellations have a significant impact on our time and costs.
At any time: the 50% deposit is non-refundable. This covers flowers already sourced and pressing already underway.
Cancellation with more than 60 days notice: deposit is forfeited, no further amount is owed. If full payment has already been made, the balance will be refunded.
Cancellation with 60 days or less notice: the full quoted amount is forfeited and non-refundable. By this point, months of preparation have been completed specifically for your event and those materials cannot be reused or repurposed.
If you need to postpone rather than cancel, please contact us as early as possible. We will do our best to transfer your booking to a new date at our discretion. The deposit may be applied to the new date if reasonable notice is given.
5.5 Cancellation or Changes by Us
In the unlikely event we need to cancel your event due to circumstances beyond our control (illness, emergency, or force majeure), we will contact you immediately and offer a full refund of all amounts paid, or an alternative date.
5.6 Participant Numbers
Please confirm final participant numbers no later than 28 days before the event. Changes after this point may affect pricing. We will do our best to accommodate last-minute adjustments but cannot guarantee it.
5.7 Intellectual Property
All workshop content, methods, design elements, materials, and concepts are the intellectual property of Joanna Hiu Artist. Nothing in this arrangement transfers any intellectual property rights to the client or their organisation. You may not reproduce, replicate, or commercialise our workshop concepts without written permission.
5.8 Photography and Use of Images
We reserve the right to photograph events for our portfolio and promotional use. If your organisation has restrictions on photography (for example, confidential client environments or internal events), please advise us at the time of booking. We will respect any reasonable and agreed restrictions.
5.9 Limitation of Liability
Our liability to any corporate or private client is limited to the total amount paid for the event. We are not liable for indirect, consequential, or economic loss of any kind.
6. Bespoke Pressed Flower Jewellery
Bespoke pressed flower jewellery commissions are available by private arrangement. This service involves pressing your flowers and casting them in resin to create a wearable piece, including earrings, pendants, necklaces, and other jewellery forms.
6.1 Booking and Payment
Bookings are accepted by private enquiry via email. Your commission is confirmed once full payment has been received. All prices are in AUD.
6.2 Lead Time
Please allow 4 to 8 months from the time we receive your flowers to completion of your piece. This reflects the time required to press and dry your flowers, cure the resin, and complete the setting. We will keep you updated and provide an estimated completion window, but we cannot guarantee a specific date due to the nature of the process.
6.3 The Nature of Handmade Resin Work
Every piece of pressed flower jewellery is made entirely by hand using a slow-curing resin process. Please read the following carefully before commissioning:
Small imperfections are inherent to handmade resin work. These may include minor bubbles, slight unevenness, or variation in surface finish. These are not defects. They are a natural characteristic of the handmade process and part of what makes each piece unique.
Resin will develop a yellow tint over time. This is a natural result of the chemical composition of resin and occurs with all resin jewellery regardless of brand or quality. It is not a manufacturing fault. UV-resistant resin slows this process but cannot prevent it entirely.
Pressed flowers will shift in colour over time. This is inherent to botanical preservation. Colours will soften and evolve as part of the natural ageing of the materials.
Hardware is gold or silver plated, not solid gold or silver. Plated finishes require care to maintain their appearance over time.
By commissioning a piece, you acknowledge that you have read and understood all of the above.
6.4 Care Instructions
To preserve the appearance and longevity of your jewellery:
Avoid contact with water, including swimming, showering, and washing hands while wearing your piece.
Avoid harsh chemicals, cleaning products, and perfumes. Apply perfume before putting on your jewellery, not after.
Store your jewellery in a dry place, away from direct sunlight and humidity.
Handle with care. Resin can chip or crack if dropped or knocked hard.
We are not liable for damage caused by failure to follow these care instructions.
6.5 Communication
All communication regarding bespoke jewellery commissions is conducted by email. Please ensure you use a current email address and check your inbox regularly throughout the process. We are not responsible for missed communications due to spam filters, incorrect email addresses, or failure to respond in a timely manner.
6.6 Returns and Refunds
All bespoke jewellery commissions are made specifically for you using your flowers. Refunds, returns, and exchanges are not accepted. All sales are final.
If your piece arrives damaged in transit, please notify us within 48 hours of receipt with photographs. We will assess the situation and do our best to find a resolution.
6.7 Photography
We reserve the right to photograph your completed piece for use on our website, portfolio, and social media. By commissioning a piece, you grant us permission to use such images. Please let us know at the time of booking if you have any concerns.
